This is a sample retention sheet, the other half of sample management in a LIMS: samples come in every month and every one carries a retention period, so at steady state the lab holds the month's intake times the months of retention, and every month the same number leaves. Samples per month times retention months is the samples under retention; times vials per sample is the vials held; over vials per box is the boxes the retention needs; and the month's intake is the month's disposals with their vials. What retention holds

400 samples a month at twelve months is 4,800 samples under retention, 9,600 vials at two per sample, 119 boxes of 81 on the worked example. The boxes figure is the one to put against the storage sheet's free boxes; the two together say whether the retention policy fits the freezers.

What leaves each month

At steady state the samples booked in twelve months ago leave this month: 400 samples, 800 vials. The sheet returns the disposal run's size so it is scheduled; the paid plan names the samples.

The period is the client's or the lab's

Retention months is an input because it is a policy, the client's contract or the lab's own, and sometimes the accreditation scheme's. The sheet publishes no rule and shows what any period holds and disposes.
